Job Summary:

The Administrative Assistant will provide direct assistance to the Director of Enterprise Foundations.  This position will act as a point of contact for internal and external parties. Strong communication and interpersonal skills, along with the ability to build relationships with executives, managers, and employees at all levels are key components to success in this role.  In the course of work, the Administrative Assistant will be engaged in highly sensitive and confidential matters, therefore, integrity and trustworthiness are key essential characteristics of any potential candidate. This position will be in Atlanta, GA and will require days in the office to manage the needs of the floor.

Responsibilities:

Maintain Director’s schedule and calendar

Phone coverage, calendar management, travel arranging, time keeping, expense and invoice processing and other administrative support

Coordinate and schedule meetings, appointments, conference rooms and audio/visual needs

Serve as a positive ambassador for the department and the Company in interactions with other internal organizations as well as external stakeholders, customers and suppliers

Create, maintain and update files for the organization

Assist in Budget preparations and tracking

Plan and organize meeting arrangements and catering

Record meeting minutes and action item tracking when requested

Maintain TEAMS, SharePoint sites, and manage distribution lists as needed

Prepare presentations and communications

Order office supplies, distribute mail, and support overall needs of the floor

Participate in special projects as needed

Proactively assist other administrative assistants as needed, coordinate coverage and provide back-up as needed

Work proactively with minimum supervision

Other duties as assigned

Job Requirements

High School Diploma or equivalent degree required

Associate or Bachelor’s Degree preferred

Executive assistant/secretarial/administrative certification (Certified Administrative Professional or similar) a plus

Knowledge, Skills and Abilities:

Experience managing calendars, inbox, and incoming calls

Experience with timekeeping, expense reporting, arranging travel, and coordinating meetings

Experience taking initiative and being a self-starter in day-to-day responsibilities

Ability to professionally represent the Director and department, including professional interactions with executives, managers, peers, department employees, vendors and other business partners.

Ability to multi-task to organize, prioritize and perform activities from multiple personnel at various levels within the department, determine priorities, and meet the needs of the organization within the required deadlines and with minimal supervision

Ability to manage calendar, travel, inbox, and incoming calls with minimal distractions

Ability to confidentially screen emails, upon request, and the ability to proactively prioritize the handling/processing of requests

Proven ability to produce accurate results with attention to detail in a timely manner, independently, and with minimal supervision and direction

Demonstrated proficiency using Microsoft Office products and Tools (Word, Excel, Power Point, Access, Outlook, OneNote and Teams)

Ability to leverage resources to pull together and provide relevant, appropriate information around business needs/issues, and create effective PowerPoint presentations

Demonstrate proficiency to learn Southern Company applications for invoice, expense, timekeeping, and procurement needs

Must utilize good judgment and decision-making skills to either involve the director or make independent decisions, as appropriate
