Administrative Assistant

Purpose

The Administrative Assistant position provides support to the Power Delivery and Customer Technology Solutions organization. The Administrative Assistant position will report to the Director of Customer Engagement Technology Solutions and supports the Customer Service and Marketing (CSM) Technology Solutions leadership team. This position will serve as a member of the Electric Technology Solutions Admin team to provide consistency and coverage for Electric Technology Solutions leadership support.

Job Responsibilities

Key expectations of this Administrative Assistant position include:

  • Support Director of Customer Engagement Technology Solutions by calendar management, time entry, expense reporting, business partner meeting coordination

  • Support up to 10 CSM Technology Solutions leader’s expense reporting as needed

  • Oversight of CSM Technology Solutions leadership collaboration sites including Microsoft Teams and SharePoint

  • Coordinate the logistics and scheduling for department and leadership meetings related to CSM.

  • Provide support for timecard entry including reminders, process clarifications, reviewing to ensure manager approvals are complete

  • Provide support for hiring process for CSM leaders including scheduling, logistics and notebook creation.

  • Foster and encourage a diverse and inclusive environment promoting positivity and collaboration throughout the department and with our partners

  • Prioritize appropriately to ensure that the needs of the organization are met

  • Coordinate facilities and supplies for department and staff meetings

  • Coordinate billing, supplies, and maintenance issues for floor printers

  • Manage the purchase of office supplies and break room supplies to ensure availability

  • Oversight of conference rooms and conference room scheduling. Anticipate and resolve schedule and meeting room conflicts

  • Establish and build strong relationships with other administrative team members

  • Backup other Electric Technology Solutions Admin team members as necessary

  • Deliver mail for the floor.

Job Requirements

Education Requirements:

  • High school diploma or GED required

Experience Requirements:

  • Experience with business expense processing, timekeeping, and travel arrangements required

  • Experience with Microsoft Suite required

Knowledge, Skills & Abilities:

  • Customer Focused - Ability to interact professionally with customers (internal and external), management

  • Positive Attitude – Maintain a steady positive attitude during times of change offering support and encouragement to team members to do the same.

  • Proactive – Must be on the look-out for preventing problems and challenges and be able to independently operate within broad guidelines. Recommend solutions for process improvement and bring innovative ideas to the team.

  • Teamwork- Must be able to work with the team, including peer administrative representatives, the leadership team and business unit personnel across the company

  • Detail oriented - Demonstrate attention to detail in efforts to produce a quality work product including expense reporting

  • Efficient - Must be skilled in delivering work products with a high degree of accuracy and timeliness

  • Technology – Demonstrate Proficient computer skills in Microsoft SharePoint content management and access control, Teams, Outlook, Word, Excel, and PowerPoint.

  • Flexible - must be able to manage multiple personalities and needs of a diverse workgroup across both local and remote locations
