The Enterprise Records and Information Manager position will manage the Enterprise Records and Information Management (ERIM) program across all subsidiaries and functions within Southern Company. This position will manage policies and initiatives to influence consistent enterprise compliance with related laws / regulations and company practices.
Bachelor’s Degree required.
Certification in records and information management is desired.
Strong RIM program management experience.
A minimum of 5 years of job-related experience including supervisory experience is desired.
Knowledge of strategies for change management, project management, and process management is desired.
Understanding on how to strategically leverage O365 repositories (e.g., SharePoint) and structure Electronic Content Management (ECM) Systems (i.e., OnBase, Laserfiche, Documentum).
Customer focused and results oriented.
Ability to build credibility and influence without direct authority.
Excellent oral and written communication skills.
Experience implementing cross-functional initiatives is desired.
Knowledge of records and information management laws / regulations (including retention) is desired.
Strong meeting facilitation skills among peers and up to executive stakeholders.
MAJOR JOB RESPONSIBILITIES:
Manage ERIM program by driving consensus on strategic initiatives and operational functions through partnerships with affiliate teams and stakeholders across Southern Company:
Develop / update policies (including retention schedule) and procedures spanning the record / information lifecycle to satisfy desired enterprise risk profile.
Manage records management software (i.e., Versatile Enterprise, Versatile Retention) including inventory of existing laws / regulations related to records and information management.
Work with Technology Organization on RIM-owned document management instances.
Lead the SCS, GPC, GAS, and Southern LINC records and information management programs to ensure compliance with internal policies and federal and state information retention requirements:
Manage all day-to-day RIM operations including customer service, consulting, communications, offsite storage, and training for all SCS, GPC, GAS, and LINC employees as well as RIM champions.
Hire, develop and manage a qualified staff, including performance management, goal setting, project prioritization and appropriate delegation of work assignments.
Ensure consistent records and information practices across Southern Company:
Develop relationship with end users across subsidiaries (beyond RIM champions / coordinators) to improve governance.
Work with other business groups (e.g., Internal Audit) to evaluate adherence to ERIM policies.
Identify and implement training / communications to achieve consistent compliance.
Provide subject matter expertise on ERIM program and related policies / procedures:
Advise stakeholders on leading ERIM practices and how to apply the policy and procedures.
Identify and implement initiatives to improve ERIM capabilities (including indexing of existing records).
Manage external storage vendors for physical records to ensure service levels, pricing, and adherence to contracts.
Develop and implement approaches to enable governance and controls of electronic information (including unstructured data).
Coordinate with the Technology Organization to evaluate technology / tools and support implementation of related tools.
