Specialist, SR. - Risk Informed Engineering

Summary of Position Duties

This senior specialist position is in the Risk Informed Engineering (RIE) department reporting to the RIE Director. This position plays an important role in supporting the day-to-day function and efficiency of the RIE department by providing department and project coordination support to the RIE management and staff. Duties include budget coordination maintenance and short-term and long-term department budget projections, purchase requisition development, invoice processing, compiling of departmental data for analysis and presentation, as well as administrative support.

Essential Job Duties include:

  • Acting as the primary contact for the RIE department budget maintenance and status including budget projections, review of monthly actuals, providing accruals and updates, and end-of-year projections.

  • Supporting coordination of the department budget which includes the annual and five-year budget processes.

  • Preparing and maintaining summary and detail-level spreadsheet reports on the budget, actuals to-date (paid invoices and accruals), and projected spending for the department's baseline and project budgets including contract services and labor.

  • Creating and processing purchase requests and changes to purchase requests, and the review and processing of invoices.

  • Writing purchase requisitions for contract services and assisting department staff with preparation of purchase requisitions for contract services. Maintaining and renewing purchase orders for Contract Services supporting the department.

  • Acting as the primary invoice reconciler for the department's contract services

  • Coordinating with vendors to obtain cost estimates and monthly cost projections.

  • Providing updates to the SNC financial budget tracking systems such as NPTS (Nuclear Project Tracking System) for department activities

  • Working directly with financial services personnel to manage budget offsets, exposures, and work/budget authorization requests.

  • Preparing specific cost information as requested and forecasting of budget and spending information to support management and project needs.

  • Coordinating with the Supply Chain organization to resolve purchasing problems with vendors.

  • Invoice processing, ordering supplies, and timekeeping.

  • Handling telephone inquiries, meeting planning, making travel arrangements, and ordering supplies for the department.

  • Filing and processing of RIE department documents and correspondence into the records management system including interfacing with Document Services.

  • Preparing expense reports, scheduling meetings and keeping up the Director's Outlook calendar

  • Acting as editor and publisher of the RIE department newsletter.

  • Maintaining RIE website up-to-date

JOB REQUIREMENTS:

Experience and Education Requirements:

  • Bachelor or associated degree is desired

  • Minimum of 3 related work experience. Previous experience as an engineering or technical aide, budget coordinator, or similar specialist or support position is preferred.

Knowledge, Skills and Abilities:

This position requires an individual to be a self-starter, organized, able to prioritize multiple tasks, and to have strong oral, written, and interpersonal communication skills. The person needs to be flexible, demonstrate initiative, and work well in a high-pressure, fast-paced, and deadline-oriented environment. The individual must have the proven ability to provide financial management support including budget coordination and cost analysis, proven ability to develop purchase requisitions and provide administrative assistance in support of the Director and the day-to-day function of the RIE department.

Other requirements and preferences:

  • Must be able to work independently and in team settings on specific tasks, and to prioritize multiple tasks.

  • Working knowledge and hands-on experience with the budgeting, accounting, and procurement processes is required, experience with SNC corporate engineering processes including MAXIMO and Oracle software is preferred.

  • Ability to function with Southern Nuclear procedures, programs and tools is required

  • Ability to use/learn timekeeping systems, i.e. STARS.

  • Proven trustworthiness in maintaining sensitive/confidential information.

  • Must be proficient with Microsoft Office Products (Word, Outlook, Power Point, Excel) and Adobe products.
