JOB SUMMARY

This position is responsible for providing administrative support for the Juliette Metrology Lab. Duties include, but not limited to ship/receive equipment, establish and maintain filing system (electronic and paper), process equipment into and out of the lab as necessary, answers customer inquiries regarding order status or refers calls to a qualified technical representative, and complete data entry/paperwork as necessary to process equipment through the lab. This position shall also safeguard paperwork for delivery to customers, and administer purchase orders for contract services, expenses, parts, and supplies.

JOB REQUIREMENTS

Education Requirements:

  • High School Diploma or equivalent

  • College coursework and or degree a plus

  • Certification as an administrative professional a plus

Experience, Knowledge, and Skills:

  • Experience with administrative or support experience supporting multiple staff members (in a corporate environment)

  • Strong computer skills with proficiency in Microsoft Office (Word, Excel, Power Point, Outlook) and other company applications (for time reporting, payables, expense reports, etc.)

  • Experience processing expense and expense reports

  • Data entry experience and experience creating/managing reports

  • Experience using an online timekeeping system/software

  • Ability to provide superior customer service to internal & external customers

  • Ability to exercise good judgment and discretion in handling confidential matters

  • Excellent interpersonal and communication skills (telephone, verbal, and written)

  • Ability to work well with teammates and customers

  • Must be self-motivated and quick to grasp general concepts and guidelines

  • Possess excellent time management, planning, organization, decision making, and problem-solving skills

  • Flexible, multi-task oriented with the ability to meet deadlines, work with minimum supervision

  • Strong focus and accuracy and attention to detail

  • Ability to lift 50lbs (e.g. case of paper, full file folder box, etc.)

JOB RESPONSIBILITIES

  • Primary I-Expense processor for JML for items sent to vendors

  • Open work orders in software program for all equipment sent to lab for repair/calibration

  • Create local JML purchase orders for shipping out items, track and complete

  • Package and ship equipment to vendors and back to customers using UPS program

  • Complete paperwork packages for equipment returning to nuclear and other customers

  • Send various equipment notifications and status reports to customers as needed

  • Answer phones and direct customer questions to appropriate personnel

  • Contact, track, and check status of test equipment that is sent to vendors for repair/calibration

  • Help complete and verify monthly JML billing and reconciliations

  • Order equipment parts and capital equipment for JML

  • Use database for tracking equipment and customer updates

  • Maintain filing system (electronic and paper) - includes JML Quality Assurance manual/procedures, and all nuclear documentation
