Job Summary:
The Service Operations Specialist is responsible for ensuring the quick and consistent flow of work orders from submission through invoicing. This position will work closely with the service division, correcting and providing data for supervisors. The position will work closely with Invoicing, Customer Service Managers Contracts, and Technology Organization teams to understand obligations and ensure the work orders are prepared correctly. Cross training with multiple departments, gaining knowledge of business and customer interactions. The role will engage to both process work orders and provide feedback and execute systemic improvements to ensure efficient flow of work orders.
Minimum Qualifications: (Education, Experience, Knowledge, and Skills):
• Previous service industry experience (Power Generation, HVAC, etc.) is preferred.• High School diploma required; advanced degree is preferred.• Fundamental knowledge of business analytics and financial concepts. • Fluency with Microsoft Office product suite (excel, word, PowerPoint).• Critical reading and analytical skills.• Strong organizational and time management skills. • Ability to manage workload issues with strict deadlines and attention to detail.• Capable of working independently and multi-tasking in fast paced environment.• High energy level with the ability to take initiative.• Must possess excellent verbal and written communication skills.
Job Duties and Responsibilities:
• Review and correct completed work orders with errors, ensuring all necessary adjustments are made for the invoicing team to close them out efficiently.• Collect data from work orders with errors to work with leaders on corrections related to but not limited to operating system, user error or process breakdown.• Track and report on work order status, identifying and resolving any bottlenecks that are found.• Ensure all reporting and contract compliance requirements are being met.• Act as a liaison between the contracts, customer service management and invoicing teams to ensure seamless communication and coordination.• Facilitate regular meetings with key stakeholders to review work order progress and address any issues. • Identify and execute on best practice; ERP processes and flow. This role will work to provide improvements to reach these goals.• Additional responsibilities include supporting service operations as needed and directed by the Director of Operations.
